Procedure

Contract of employment
Once EasyStaff has received your application and a valid copy of your proof of ID (passport or identity card), you will be registered in our payment system, and we will send you the signed contract of employment by return e-mail. Only when all information is complete can we effect payment of your salary. In this context, complete means that the contract and application form are completed in full and returned with a clearly legible copy of a valid passport or identity card, plus evidence that you are entitled to perform work in the Netherlands, if appropriate.

Payment of salary and invoicing
EasyStaff pays your salary on the basis of hours worked by you and agreed by your customer. Agreed time sheets are processed and paid every Thursday. To be sure that salaries are processed on Thursdays, EasyStaff must have received the time sheets before mid-day (12.00 p.m.) on Wednesday. Depending on who you bank with, your salary will be on your account on Thursday or Friday. Time sheets must be submitted weekly, fortnightly or every four weeks, depending on arrangements with your customer.

Virtual environment
Once your application and details have been logged in our system, you will receive an e-mail with your log-in codes for the EasyStaff virtual environment. Among other things, the virtual environment gives you digital access to your pay slips, for instance. If you have still not received your log-in codes by the time you receive your signed contract, please send an e-mail to declaratie@easystaff.nl asking for your log-in codes.

Expense claims
Expenses must be claimed in the same way as time worked, and are also subject to your customer’s agreement. Tax-free expense reimbursement is governed by strict rules that EasyStaff must observe at all times.

Pay slip
Your pay slip specifies the salary paid into your account and the amounts deducted for income tax and social security contributions. Your personal account allows you to view your pay slip on-line.

Annual statement of taxable income and deductions (Jaaropgaaf)
Your annual statement of taxable income and deductions for the previous tax year is generated each February and can be viewed via your personal account. You need the annual statement for your tax return, or when applying for means-tested benefits, such as unemployment/disability benefit, housing benefit a student grant or an occupancy permit.
